How the Process Works

Four steps from your documents to a signed sworn translation ready for submission in Spain.

1. Gather your documents

In most cases, all you need are scanned copies or digital PDFs. Physical originals are rarely necessary. If you have any doubt about what to include, send everything you have — Alba will confirm what is needed before the work begins.

2. Send your files to Alba

Upload your documents through the request form. You will receive a reply confirming the page count, total cost, and estimated delivery time. Pricing is fixed per page so there are no surprise fees.

3. Receive your sworn translation

Alba personally prepares your translation and delivers it as a digitally signed and stamped PDF. This format is accepted for official use throughout Spain and by Spanish Consulates worldwide. No physical copy is required for official submission in most cases.

4. Pay after delivery

Payment is made only after you have received your translation. Accepted payment methods include credit card, bank transfer, Wise, and Zelle. EU residents pay 21% IVA in addition to the page rate.

What to Have Ready

Before sending, it helps to have the following to hand:

  • Your documents as scanned PDFs or high-resolution images. Photographs taken on a phone are usually fine as long as the text is fully legible.
  • All pages of each document, including any apostille. If an apostille is attached to the back of your document, scan it together with the main document, not separately.
  • A note on your deadline or any rush requirements. If you need your translation within 12 hours, mention that in your message and Alba can confirm availability.
  • The name of the institution or authority you are submitting to (consulate, immigration office, Spanish registry, university, etc.). This is optional but helpful for any formatting questions that may arise.

If you are not sure which documents need to be translated, see which documents commonly require sworn translation for Spain. If you are not sure whether to include the apostille page, read about apostille translation requirements for Spain.

What to Expect After You Send Your Files

Once Alba receives your documents, you will typically receive a reply within a few hours (during business hours) confirming:

  • The exact page count for each document
  • The total cost at the applicable rate
  • The estimated delivery time based on current workload and any rush requirements
  • Any questions about the documents or the submission context

No work begins until the quote is confirmed. If you decide not to proceed, there is no charge and no obligation. If you are happy with the quote, translation begins promptly and the signed PDF is delivered to your inbox.

If you have questions before you send — about what to include, whether your documents qualify, or anything else — email or WhatsApp Alba directly. Contact details are in the header and footer of every page.
